Job description

Our client, an entertainment technology platform startup, is looking to hire a Jr. Level Executive Assistant to support the COO. This candidate must be a professional, proactive, resourceful, motivated, and enthusiastic individual who has excellent people skills and has a love for detail.

 

Responsibilities:

· Provide day-to-day management of COO scheduling while balancing internal priorities with external priorities

· Manage intensive scheduling, call volume, domestic and international travel arrangements, correspondence, and expense reports

· Proactively manage an efficient and smooth process for keeping two busy executives on track

· Implement, update, and maintain effective organizational systems

· Liaise internally and externally with employees and executives at all levels and in a timely, professional manner

· Serve as a point of contact for high level clients and business partners

· Handle highly sensitive and confidential information

· Provide other admin support as needed (includes but not limited to preparing for meetings, taking notes on calls, managing assets, creating decks, assisting ad-hoc projects, scheduling facilities and equipment on a timely basis)

· Ability to anticipate needs, be resourceful and adapt to continually changing priorities & deadlines

· Organizing events and conferences

· Implementing, maintaining, and improving procedures/administrative systems

 

Qualifications:

· Experience as an event coordinator, assistant in entertainment, media, tech or agencies, or relevant related experience

· Experience using the Google Drive suite, Microsoft Office suite, or similar software

· Excellent written and oral communication skills

· Excellent organization skills, accuracy, and attention to detail with ability to multitask

· Can easily build rapport with clients, vendors, and teams both in person and in writing

· Strong sense of responsibility and ability to complete tasks with minimal supervision

· Handles tasks in a positive and professional manner

· Superior time management skills

· Proactive administrative and problem-solving skills

· Discretion and trustworthiness, you will often be party of confidential information

· Flexibility and adaptability

· Work well under pressure and ability to handle multiple tasks

· Thrives in a fast-paced environment, is extremely organized, details oriented and can remain calm under pressure

· Strong and proven ability to remain discreet and appropriately handle highly sensitive and confidential information

 

Preferred Qualifications:

· Experience working in a startup environment

· Prior experience working within an Executive Assistant, Admin Assistant or Creative Assistant position

· Bachelor’s degree in business, liberal arts, or a related field
