Executive Assistant

 

Seeking a highly driven Executive Assistant, based in Miami to support our senior level executives. The Executive Assistant will be responsible for the proactive oversight of all travel, expenses and general administrative responsibilities. Our ideal candidate will have experience supporting senior-level leaders in an extremely fast-paced environment, and demonstrated experience with travel planning and expense reports, and proficiency in Microsoft Word, Excel, Outlook and PowerPoint.

 

Responsibilities:

•            Provide general administrative support to the senior leadership team, including completing expense reports, assisting with travel arrangements, and scheduling meetings

•            Plan and organize travel arrangements (domestic and international) to include researching and scheduling the best options, dealing with necessary changes/adjustments to the itinerary, and preparing related expense reports

•            Oversee budget, job codes, purchase orders and approvals related to travel and expenses and submit accurate forecasts and reconciliations to Finance

•            Partner with management to assist in planning internal events and scheduling

Qualifications:

 

•            2+ years of relevant experience in an administrative support role to a senior-level leader in a fast-paced environment is a must

•            Agency experience a plus

•            High degree of proficiency with MS Office suite of products including Outlook, Word, Excel and PowerPoint and prior experience working in a MAC environment

•            High degree of proficiency with Slack, WhatsApp, MS Teams products

•            Extensive experience with calendar management, travel planning (including domestic and international travel), and expense reports

•            Strong multi-tasking skills and the composure required to display grace under pressure

•            Proven ability to take initiative and think and plan ahead

•            A “can do” attitude and the willingness to perform a wide variety of tasks required to meet the daily demands of the business

•            Proven time management and organizational skills and an exceptional ability to pay attention to detail in a fast paced, multi-tasking environment

•            Outstanding writing, presentation and communication skills
