Job description

Financial Corporate Services company is seeking a full-time Office Administrator to work in the Los Angeles, CA office.

In this position you will provide operations support to senior managers and brokers. Responsible for flow of correspondence, requisition of supplies, as well as additional clerical and account-related duties. Serve as administrative point of contact and coordinator for all activities related to recruiting and personnel, operational and compliance matters. Also, will be responsible for directing and coordinating office services and related activities, including maintaining branch compliance with established company policies and procedures. As office administrator, responsible for overall office administrative activities, including the reception, shipping and correspondence, large purchasing requests, and facilities.

Responsibilities:
Supervises and coordinates overall administrative activities for the branch office.
Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain a professional image.
Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
Coordinates project deliverables.
Prepares various types of correspondence using Word, Excel, and other necessary software.
Interacts maturely and effectively with external and internal personnel.
Receives incoming calls, handle requests and directs communication to appropriate parties.
Provides necessary client services to walk-in clients, including the receipt of monies and securities.
Orders office supplies as necessary.
Performs other duties as assigned.
 

Qualifications:
Associate degree required. (Bachelor’s degree preferred).
Minimum two years work-related experience in an office environment.
Excellent written and verbal English communication skills.
Excellent knowledge of MS Excel operations.
Demonstrated proficient computer skills to include, Microsoft Office applications, as well as other office software products in a Windows environment.
Proficiency with Internet use, email functions and website application.
Detail-oriented, able to effectively manage time, strong planning skills, and excellent analytical skills.
