Job description

Looking for an Office Manager to support a client of ours located in Marina Del Rey! In this role, the Office Manager is responsible for supporting all HQ office administration as well as providing administrative support to senior leaders. The Office Manager will be primarily responsible for operational compliance with state, county and city regulations, as well as other tasks associated with daily office operations. Additionally, the Office Manager will be expected to take on a variety of ad-hoc projects related to office and facilities management. This role will report into the People team. The Office Manager role requires a self-starter that thrives in a fast-paced environment. In addition, this role requires excellent organizational skills, attention to detail, the ability to operate independently, and to drive new processes and efficiency across the organization. This individual will also demonstrate excellent customer service (for both internal and external customers).
 

Responsibilities:
Greet, interact, and assist with employees or guests visiting the HQ office and/or working remotely
Establish office processes and procedures to ensure they are streamlined, flexible, and efficient
Manage the HQ office including daily office operations, equipment management/budgets, and etc. with a high degree of autonomy
Act as the main contact for facilities management (repairs, maintenance, budget and compliance)
Assist the People Team and Executive leadership with internal communications and outreach
Support the People Team with managing office related COVID-19 prevention and compliance measures (signage, communications, procuring supplies, etc.)
Assist in meeting preparations including room reservations, catering, and coordinating technology setup
Prepare presentation materials for both internal and external meetings
Lead new hire equipment on-boarding and assist in ongoing equipment support for all employees
Provide administrative support to leaders including arranging and coordinating business travel arrangements, processing expense reports, maintaining schedules, proactively and independently handling correspondence/communications, and liaising with clients, among other duties
Lead or support special projects, as needed
 

Qualifications:
3+ years of office management experience, tech knowledge is a plus
Exceptional attention to detail skills with a high level of accuracy
Excellent verbal and written skills
Strong Customer Service skills
Knowledge and experience planning events and meetings
Self-starter and proactive with ability to adapt to changing business needs
Ability to establish priorities, meet set deadlines, and complete tasks in a timely manner
Able to analyze problems, propose solutions, and take action when necessary
Experience managing financial budgets; driving cost savings and managing multiple vendors
Ability to handle confidential matters with discretion
Capable of working independently, under deadlines and prioritize work
