Job Description
We are looking for a Production Coordinator to join our Strategic Events team. The Strategic Events team is responsible for creating, communicating, and enabling the events strategy for us globally. We imagine, create, and execute events that are educational, memorable, impactful, relevant, and fun.

 

The ideal candidate is highly collaborative with a deep understanding of TV broadcast, virtual, and in person events. Is extremely detailed oriented with project management experience and the ability to work with cross-functional teams to keep all aspects of the in-person event and broadcast on target. With a proven track record in content production for live and virtual events. Event management experience expected.

Responsibilities
- Establish and maintain effective working relations with a wide range of internal and external stakeholders by creating and executing on timelines, workback schedules, and ensuring a common and consistent creative thread between internal and external resources
- Actively manage projects within assigned business lines (i.e. external vendors and producers, internal business lines like brand creative and corp comms)
- Partner with stakeholders to develop a complete understanding of the objectives, messaging, priorities and key issues for our audience. Work in collaboration to develop the content architecture, storylines and creative messaging for key programs with executive communications teams
- A skilled communicator with the ability to manage up and down with internal and external stakeholders
- Develop and maintain creative in conjunction with internal guidelines to ensure a common theme throughout live event elements and broadcast portions of conference
- Assist in management of workflow ranging from script management, video continuity, permits, releases, and ensuring comprehensive meeting notes are taken
- Ability to give and receive creative feedback on video editing of packages that will become a part of a live broadcast experience at the conference
- Execute shoot requests, create/track budgets, track script notes and creative themes and work with Team Leads to ensure all projects delivered in a timely fashion
- Devise & monitor detailed production workflows, scripts, and keynote presentations
- Assistance in costing negotiation and margin management from vendors
- Resolve issues arising during the pre-production process to avoid late deliveries and ensure workflows are effective and collaborative
- Assist in the product costing, communication, negotiation and confirmation with internal and external partners
- Key contributor of costing activities through evaluation, selection and recommend effective cost solutions to meet companies financial targets

Professional Experience Requirements
- A minimum of 5 years’ experience in events industry in related roles
- Project management and keynote production experience
- End to end understanding of live events and large scale session production
- Working knowledge of large scale agency management
- Live event technical understanding (ie what the technology can give you, not necessarily operating)
- Ability to build and leverage relationships both internally and externally
- Excellent verbal and written communication skills
