24 Seven is partnering with one of the leading creative agencies in the Portland Metro Area in search for a Program Operations Manager.
Our agency client is growing and looking to add a Program Operations Manager to their team full time with benefits! The primary focus for this role will be to consistently improve the daily operational effectiveness of the agency by using the project management tool, Mavenlink. On a day to day basis, the Operations Manager will establish and maintain Mavenlink to resource, track progress and help the teams to deliver brilliant work accurately, on time and on budget.
The Operations Manager will implement and consistently improve the daily operational effectiveness of the agency by streamlining workflows, documenting processes and ensuring teams are trained and adhere to best practices while utilizing the tools, systems, resources, and partners to their fullest potential. The Operations Manager will also lead the resource allocation process, monitoring and shifting internal and external resources to maintain productivity, meet utilization goals and inform resource forecasting.
Roles and responsibilities:
- Establish and maintain the Project Management tool (Mavenlink) used to resource
track progress, and deliver brilliant work accurately, on time and on budget. Help
troubleshoot issues as they arise
-Support the development of tools, procedures, workflows, communications, and training activities related to the implementation of change initiatives
- Drive operational excellence in the organization by identifying and executing processes that create efficiency, remove obstacles and improve operational metrics
- Key point of contact for operational stakeholders and can quickly act to resolve business and operational / technical issues and be called upon to help put in place
new ways of working to support the evolving demands of the agency
- Actively manage the balance between internal and external resources, matching skill sets to work, monitoring capacity and availability, all towards the ultimate goal of optimizing staff utilization
- Create, deliver and continuously improve business process solutions
- Develop and document operational trends
- Partner with discipline leads to identify and unlock workflow improvement opportunities
- Lead the effort to design and implement innovative and creative solutions based on
business needs resulting in improved efficiencies
- Mavenlink Reporting and Analytics
- Understand the systems and business processes that populate critical data
- Partner with discipline leads to build and automate reports and dashboards that provide insights into business measurement and effectiveness
- Provide ongoing reporting and analysis to inform and support business decisions
- Ensure data and reporting accuracy
- Resource Planning Lead Global - Resource Allocation meeting
- Partner with discipline leads and Director of Program Management to identify and resolve scheduling conflicts, workload imbalances, skills gaps
- Partner with Talent Acquisition Manager to identify freelance talent needs
- Report weekly to Director of Program Management with analysis of studio utilization, upcoming resource issues
Experience and requirements
- 5-8 years of experience in Operations, Project Management or Production in an Agency setting
- Bachelor's degree in Business, or related
- Mastery of Project Management tool - Mavenlink, or similar platform preferred
- Experience leading initiatives to optimize a scaling organization
- Desire to be into the detail, systems, processes, , utilization, production and delivery
- Must be able to examine financial data, as well as implement and suggest solutions to improve productability within the production environment
- Experience in an entrepreneurial environment, thinking strategically and executing methodically while thriving in ambiguity and embracing a fast-changing environment
- Experience in implementation of large scale projects and change management process
- Communicate effectively in writing, verbally, and through presentations
