Client Overview:Our client, a well-known camera and social media company is looing for a Senior Council Coordinator to join their innovative team!
Responsibilities:
• Scheduling
• Initiate communication, schedule and place all new employees throughout the company into Council groups on a weekly basis ensuring that all employees are part of a regular Council group
• Create, monitor and manage systems and all Council group calendars and attendance sheets
• Compile all Council attendance sheets and analyze the resulting data on a monthly basis Communication
• Organize, track and manage Communication for all Council Team meetings and retreats Los Angeles Council Program
• Book space in all offices for all Council sessions, and ensure suitability of space set-up Retreats
• Organize the transportation for New Hire, Teams and Mixed retreats
• Organize the transportation from various global offices to local retreat centers • Oversee logistics and scheduling for new hire trips by communicating with the venue contact, caterer, transportation and all employees/teams traveling on New Hire Retreats.
• Support all elements of retreats through NDAs, contracts and payment
• Oversee logistics, scheduling and attendance for Global retreat sites by communicating with the global retreat center, Council Lead, catering, bus companies, etc.
• Leads the Council team with the setup of all Council events by communicating among legal, accounting, and vendors to ensure the non-disclosure agreement, contract, and timely payment to the vendor for each event
•Coordinate logistics for team Councils in all offices
• Oversee all contracts, invoices, non-disclosure agreements, receipts, and schedules for all Council offices
• Assist with setup and breakdown of all Council events
• Assist with any other Council-related logistics
Qualifications:
• Bachelor's degree preferred
• Experienced coordinator or office administrator
• Fluency in all programs under Google Drive (including Google Calendar, Sheets, Docs, and Forms)
• Expert in project management
• Be a resourceful self-starter, have a strong work ethic, and be able to work in an evolving environment
• Must be detail oriented
• Strong problem-solving and decision making skills
• Budget oversight skills
