Job description

The Senior Project Manager (SPM) is responsible for all project deliverables across all platforms for their discipline. The SPM works directly with clients and is the lead project partner for the creative teams on their respective work. The SPM oversees all aspects of project management including, but not limited to: scoping, concepting, scheduling talent and vendor relationships. The SPM coordinates with all departments to ensure synergy of all assets and content.

Roles and responsibilities

Core Responsibilities

Own the scope of project deliverables and establish a global view of the entire workflow, ensuring financials and resource management data is accurate throughout all internal systems

Work with discipline leads (Group Client Director, Client Director, Creative Director, Strategy, Director of Delivery) to determine budgets, deliverables, resources and timing for client projects

Execute and maintain projects in accordance with work quality and margin expectations once they’ve been formally approved

Document, establish, and communicate best practices of process and production delivery back to the agency

Track deliverable profitability in partnership with Client Director and provide solutions for increasing margins

Project Execution

Understand, implement and optimize workflow

Lead and/or drive the creation of appropriate kick-off documents including the Project Brief and Creative Brief

Participate in internal kick-off meetings, partner with the Client Lead and present all relevant information

Review all relevant project documentation and make sure content is distributed to the appropriate team members in a timely manner and stored in an accessible location

Proactively maintain project schedules and ensure discipline leads and the Resource Manager are aware of timing shifts that could impact the budget and/or resource allocations

Maintain project data in Mavenlink software in real time, including project budget, new Change Orders, POs and resource needs, etc.

Communicate regularly with clients and the Client Lead; inform on project status, barriers to success, budget status, and improvement opportunities

Provide timely communication to client services team regarding project timeline, barriers, dependencies, etc.

Manage internal and external resources/vendors to ensure that project tasks are clearly communicated and successfully completed

Work with internal discipline leads to define project scope, budget and schedule for Client Lead to incorporate into Proposal/SOW

Ensure all the administration-related tasks (open job, track billable hours in project management software, set-up project folder on server, open POs, etc.) before starting the project

Establish and maintain project financial tracking in Mavenlink, and keep Client Director aware of changes that may impact the budget and/or project margin

Plan/lead special projects as appropriate

Lead daily activities of delivery team to achieve project goals

Enforce schedules, budgets/approved estimates, and quality control

Determine/monitor resource requirements/issues

Team Management

Provide supervision, development and management of Project Managers, Project Coordinators, and freelance Project Managers
