Job description

Our client, a boutique digital agency is looking for a Sr. Project Manager (Organic Social Media) with agency experience. This is a temp to hire or FTE opportunity that is remote. Must be located in PST time zone.

 

Job Description:

You will directly be responsible for the maintenance and management of projects/workflows and efficacy across the agency. This person must have the vision and capabilities to develop the infrastructure to support the agency’s execution of services and ability to scale. This person will eventually be responsible for growing and leading a team of Project Managers to support the growing client base. The day-to-day responsibilities include communication as the main point of contact for clients, the development of project road maps across all departments while maintaining schedules and managing project budgets. As an essential part of the team, you will be accountable for client satisfaction and the success of our projects, delivering on time and within budget to ensure our client’s expectations are exceeded. From planning to execution to closing out projects, you will build a comprehensive work plan for the deliverables at the Agency.

 

Responsibilities

  • Grow the efficiency of organizational processes and procedures to enhance and scale the agency’s internal capacity
  • Develop necessary infrastructure to help support growth of agency and management of clients
  • Create and implement policies and protocols as needed to address inefficiencies or to support stronger productivity
  • Develop and maintain quality assurance protocols
  • Support and provide quality training and mentoring of all new hires to ensure proper execution of process and protocol
  • Accountable for the successful delivery of projects on time and within budget, while exceeding client expectations
  • Provide leadership and support that encourages team enthusiasm and innovation
  • Provide strategic direction to project teams as well as tactically handle the day-to-day project operations and communications
  • Attends weekly status meetings with the team to ensure facetime is leading to clear communication workflows across the Agency
  • Regularly follows up with all internal parties involved with deliverables and keeps pace of project on track leading up to final hand off to client
  • Very strong understanding of client SOW’s to ensure deliverables are being provided and details are being addressed within those respective deliverables
  • Help identify inefficiencies or challenges in execution of projects as outlined in SOW’s
  • Manage multiple full-service projects simultaneously, across multiple clients, coordinate cross functional communication and handoffs across disciplines
  • Work with the internal teams and vendors to create workback schedules
  • Manage the project scope, budget, timeline, and risks, as well as assign, monitor and guide workflow and tasks; set daily, weekly, and long-term project goals and report status
  • Partner with the Agency's executive management and client services teams to identify new opportunities and build relationships
  • Coordinates weekly status meetings with Department Leads, as well as with assigned account/campaign teams as needed

Account Management/Support:

  • Help to develop strong foundation for relationships with clients through a successful onboarding process o Foresight and ability to prioritize individual client needs while looking at the overall needs/priorities of all clients as a whole
  • Responsible for day-to-day communication/engagement with clients as a representation of the Agency
  • As the knowledge center for each account, you will participate in client calls/meetings on behalf of the Agency
  • Support opportunities for renewal and growth of client partnerships
  • Identify & troubleshoot challenges and engage the Client Services team to problem-solve

Operations/Support:

  • Work closely with the operations team to develop workflows across the organization
  • Work with the operations team to build Monday.com into an effective tool for project management, team utilization, visual dashboards for team members, and task management
  • Communicate clearly with the operations team about bottlenecks, account overages, over utilization of team members, and any other problem that may arise to resolve the issue and develop new strategies moving forward
  • Work with the operations team when developing SOW’s to ensure proper team utilization o Forecast the need for Independent Contractors if workload requires it

Requirements:

  • Strong understanding of how to lead a project team through the project lifecycle
  • Minimum of 5 years of relevant project management experience in a professional services/Agency
  • Minimum of 5 years of experience managing both large- and small- scale interactive and/or web based projects
  • Works well under pressure with time-sensitive deadlines and is driven to deliver superior results to the client
  • Proactive, can take initiative in any given situation and anticipate any potential needs
  • Strong attention to detail
  • Ability to define objectives, scope and resources for projects contained within a department or business unit
  • Comfortable working in a fast-paced, collaborative, creative Agency environment
  • Proven track record of delivering projects on time and within budget
  • Excellent estimating, scheduling & budgeting skills, with the ability to independently identify and resolve project issues
  • Excellent presentation, oral and written communication skills, including meeting facilitation experience
  • Experience working in an Agency environment
  • Knowledge of general PM/Operations Software ? Proficiency in Microsoft Office and Google Suite
