Job description

Our client, a leader within commercial real estate, is looking for a detail oriented Administrative Assistant to support their marketing team. This is an on-going contract position and will be hybrid onsite in Irvine and remote.

 

Key Responsibilities and Qualifications:

  • Coordinate and schedule meetings for the team and executives
  • Ensure all materials are prepped and distributed prior to meetings
  • Take meeting notes as needed
  • Create presentations and PowerPoints as needed
  • Plan and execute team lunches and events
  • Manage team expenses
  • Process expense reports
  • Receive and manage new invoices
  • Draft correspondence as needed
  • Assist in tracking leads through SalesForce
  • Various ad-hoc projects
  • 3+ years administrative experience
  • Interest in marketing
  • Strong time management and organization skills
  • Ability to manage multiple projects at once and prioritize accordingly
  • Ability to thrive in a fast paced environment
  • Self-starter who is eager to help where needed
  • Familiarity with Google Suite and Microsoft Office
  • Ability to quickly learn new programs and processes
  • Excellent written and communication skills
