Administrative Assistant - Global Sportswear Company

As an Administrative Assistant you will support multiple senior level directors and perform a wide range of administrative duties. These duties include preparing correspondence; producing, editing and reformatting documents; preparing expense reports and purchase orders; updating organizational charts; managing the onboarding experience for new hires; and providing support to a diverse team of people. You'll also respond tactfully and promptly to inquiries and problems within your scope of established authority; handle confidential information; and coordinate a full range of meeting, event, and travel arrangements.

We are a fast-paced team and we are looking for someone who can operate at our speed while at the same time creating processes that help us work smarter.

Requirements for the position include:

  • 3 years' experience as an administrative assistant or other support role in a professional business environment
  • Tech savvy in a with intermediate to advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint and Adobe Acrobat
  • Ability to manage complex and rapidly changing calendars for multiple Senior Directors and coordinate their internal and external meetings
  • Ability to manage schedules for multiple private conference rooms
  • Proficiency in managing multiple tracking systems (assets, software, supplies, onboarding/new hires)
  • Ability to prepare expense reports, create PO requests, and procure goods through a Spend Management System (Coupa)
  • Ability to coordinate both domestic and international travel arrangements, including passports and travel visas
  • Knowledgeable about organizing on-site and off-site events
  • Comfortable learning new things
  • Tenacity and confidence to chase down information from people who are moving at lightning speed
  • Ability to take initiative, follow-through on requests until completion, and display a keen attention to detail
  • Proven ability to work in a fast-paced, results-oriented, team environment
  • Strong organization skills and the ability to prioritize multiple tasks
  • Must be comfortable with ambiguity and be resourceful enough to find solutions on your own
  • Constantly searching for new and exciting ways to improve the way we do things and create new processes that make people’s lives easier
  • Previous experience working with budgets is strongly preferred
  • Previous Nike work experience is a plus
