Administrative Assistant/Office Manager

Coordinate meetings with clients/ partners for Exec team
Manage CEO’s calendar
Manage expenses for President and CEO
Book Travel and accommodations for CEO (and sometimes other execs)
Take notes during weekly WORM and NSM meetings
Work with BOD and their assistants to schedule board meetings, organize logistics and order food day of
Schedule All Hands meetings, organize deck and follow up with team members on content
Scan CEO’s notes to his email
Plan internal meetings for Sales per the request of President
Send out gifts for clients from President
Manage NSM decks weekly, proofread other’s additions
Coordinate with team to release rooms for VP and Exec meetings when unexpected changes occur

Schedule cross department meetings for new hire onboarding
Schedule candidate interviews
Coordinate internal meetings for HR Lead
Manage org charts
Manage employee website


Book and communicate with venues for Sales offsites
Order supplies for the office (weekly food order and office supplies)
Submit work orders for the office
Enter visitors into visitation system
Schedule and manage fed ex pickups Coordinating with Events committee to set up for internal events
Manage calendars for all 4 conference rooms
Maintaining the storage unit in the basement
Provide cleaning instructions to replacements for office attendant when she’s out
