Agency Project Manager
Our agency partner is looking for a project manager to manage the day-to-day tasks for digital asset production, overseeing initial project kick-off and design execution through completion and posting final files. You will be responsible for the overall management of a portfolio of projects. Work closely with the account and creative leads, the Project Manager is an integral and important part of the team that leads our work. Project Managers interact with a variety of stakeholders and inspire confidence, demonstrate strong organizational skills and the ability to stay focused on the big picture without losing sight of the critical details.
- 3+ years of project management experience within an agency or studio setting
- Strong written and verbal communication skills
- Experience with project management software i.e., AirTable, Smartsheets
- Digital asset production experience preferred
- Experience in estimating and managing $1M+ budgets
- Sports industry experience is a plus
Client communication: For all active projects, serve as the primary point of contact for clients, stakeholders and vendors. In addition, responsible for communicating to the internal team all day-to-day activities, priorities, challenges and risks.
Estimates: Works with internal team and client to scope projects. Creates and reviews estimates with account lead and creative lead to determine accuracy. Requests estimates from outside vendors as needed for each project including printers, writers, etc.
Budget and profitability management: Tracks project budgets and client POs throughout project to ensure profitability. Alerts team and clients of scope increase. Provides updates to client on budget and PO status as needed. Reviews billing amount with account lead when necessary. Prepares billing for General Accounts Manager and closes out projects when complete. Plan/lead project retrospectives if deemed necessary.
Schedule and job status management: Circulates schedule to clients and internal team. Notifies all stakeholders when schedule is in jeopardy due to missing information. Follows up with client or AE as necessary to meet schedule until information is received.
Meetings: Schedules and leads project meetings with internal team and client to scope project, review creative, and discuss schedules as needed to assure timely and accurate completion.
Proposals and RFP responses: Supports proposal and RFP development by attending client meeting to define project, working with AE and CD to develop project plan and scope. May include drafting portions of proposal and facilitating the creation of assets to enhance response.
Project Download & Kick-off: Working with the account lead, create initial kick-off document including, estimate, schedule and project brief. Communicate all project specifications, requirements, and deliverables to the team.
Content management: Works with client, creative department, copywriter, and QA department to monitor all content and copy. Tracks all copy revisions and assures that all copy revisions are made on layout or HTML page.
Proof review: Works with clients and creative department in the external proofing process. This includes facilitating review of proofs and coordinating with external vendors to ensure needed revisions are implemented.
Traffic Meetings: Meets regularly with internal teams to keep up to date on existing projects and resources.
Client Services Team: Works with other team members to create a cooperative working environment. Backs up account lead and project managers in their absence to assure client is receiving the best customer service possible.
