Executive Assistant

Our client, is seeking an extremely organized Executive Assistant to directly provide comprehensive support to the CEO. The ideal candidate would manage, organize and plan out the CEO's daily/weekly/monthly schedule, ensuring that he/she remained on task and focused. This role is responsible for simple task and complex tasks.

The Executive Assistant to CEO will complete a broad variety of administrative tasks that facilitate the CEO's ability to effectively lead the organization.

Job Duties:

  • Duties and responsibilities include but are not limited to:
  • Managing an extremely active and ever changing business and personal calendar of appointments.
  • Fielding heavy email volume and handling all correspondence on behalf of CEO.
  • Plans, coordinates and ensures the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office, which includes scheduling of all meetings.
  • Full execution of all special requests, both business and personal, as well as the ability to handle multiple projects with ease
  • Manage the product development process with CEO. Organizing all communication with vendors and internal team members.
  • Managing CEO photography content for social media, social adds and more.
  • Facilitate and manage the product development timeline and schedule staying on top of deliverables
  • Proactive work style to anticipate potential issues and come up with creative solutions; capability to take independent action as appropriate using good judgment and discretion

  • Respond to inquiries with little to no supervision.

Knowledge, Skills & Abilities:

  • Strong written, verbal, technological and interpersonal skills. Exceptional organizational skills and attention to detail. Ability to multitask and independently prioritize.
  • Experience with event planning and execution.
  • Experience working in a fast-paced environment with an understanding of prioritization of workload and a sense of urgency in performing tasks and executing deliverables.
  • Must be proficient in Microsoft Office suite, Google applications and have the ability to learn other web based applications and programs.
  • Able to collect and organize data.
  • Ability to understand and articulate technical information relevant to companies operations.
  • Ability to work under pressure on a variety of tasks against deadlines, whilst maintaining attention to detail and accuracy.

Minimum Education & Experience:

Bachelor’s Degree

At least three years (3) of related experience providing administrative and project support.
