Executive Assistant

Seeking a Management Team Assistant to support the retail, HR and marketing leadership team. This position reports into the company President. The ideal Management Team Assistant is a flexible team player with proven experience in supporting multiple managers in a rapidly growing company.

General Duties include:
• Supports the leadership team (President, VP Marketing, HR Manager) in all administrative tasks
• Support the North America Store Managers with special tasks such as store openings/holiday season preparation (gathering office materials and uniforms, scheduling store-related services/repairs, coordinate trainings/employee events)
• Act as the main contact for general inquiries and requests, filtering through cold reaches, responding to clients and partners, distributing messages to the appropriate department(s) and responding to invites
• Act as a hub between the corporate leadership team, the North America store managers and departments of the Switzerland- based Home Office (especially the Finance Team)
• Help with expense reports and basic AP/AR (ensuring invoices and services are accurate, then paid timely)
• Other administrative and operations-support duties as needed

Desired Qualifications include:
• At least two years of experience in a Operations/Administrative Coordinator role or similar, preferably in a fast-paced environment with varying responsibilities and supporting multiple managers
• Equipped with strong communication skills, both written and verbal
• Keen attention to detail, organized, ability to prioritize effectively
• Strong follow through skills, takes initiative, able to self-manage and work independently
• Good conceptual skills, an overall forward-thinking problem solver
• Punctual and reliable with the availability to help at company events, which may be scheduled during the evening or on weekends
• The ability to speak multiple languages is a bonus (English, German, French, Italian and Spanish preferred)
• On the pulse industry-related new systems and software, tech savvy and ability to self-teach
• Works well under pressure with a can-do positive outlook
• Cultivate an environment of courtesy and good manners
