Executive Assistant/Project Manager | Design Firm | Hudson County, NJ

LOCATION: Hudson County, NJ

NOTE: Ideal candidates will have a background in commercial construction spanning customer relations, retention, project management, and strategic planning.

Company Overview:

Our client is a leading design and sourcing firm specializing in 3D visual display props and free standing fixtures supporting leading retailers, hotels and commercial real estate companies. Their expertise includes designing, prototyping, manufacturing (domestic and international), distribution, installation, disassembling, warehousing and storage services.

Position Overview:

In this role, you will be the CEO/President's right-hand. This is not your typical Executive Assistant position as you'll play an active role communicating directly with Fortune 500 customers to coordinate 

Key Responsibilities: 

  • Plan for upcoming meetings

  • Track of the who, what, where when, and why for each project

  • Type and take minutes during team meetings

  • Plan travel itineraries, accommodating complex arrangements from place to place

  • Oversee communication of proposals for project specifications and presentations 

  • Organize and maintain large scale projects 

You:

  • Understanding of commercial building and construction terminology, certificate of insurance, job costing budget/bidding, scaled drawings, RFP (request for proposal), RFI (request for information)

  • Natural ability to keep people on tasks in order to reach goals

  • Self-motivated, focused, organized and professional

  • Strong work ethic producing high quality results (you're obsessed with double checking your work)   

  • Do best in a fast-paced environment w/ prior experience working for large/complex companies (many of the clients you'll be working with are Fortune 500 Brands)

  • Roll-up-your-sleeves mentality

  • Exercise discretion and integrity when dealing with sensitive matters

  • Superb typing, note-taking, and Excel skills

  • Exceptional communication both written and oral
