Executive Assistant (Retail & CPG)

Our client, a well known entertainment company, is looking for an Executive Assistant!

Position Overview 
The successful candidate will play a pivotal leadership role in ensuring that all operational and administrative functions run smoothly while providing administrative support to the SVP of Retail and the VP of Global Consumer Products (GCP). This assistant will manage communication to ensure fluidity across these two departments. The ideal candidate will have a passion for retail, consumer products and entertainment with a desire to develop professionally. 

Administrative Duties/Responsibilities: 
• Provide administrative support to team including scheduling and phone coverage 
• Prepare expense reports 
• Coordinate the travel itineraries of GCP & Retail teams 
• Manage all invoice processing, new vendor forms and P.O.s 
• Manage electronic filing systems and operate several databases 
• Coordinate large meetings (AV/IT set-up, food orders, room set-up, etc.) 
• Coordinate all shipping needs for department 

Consumer Products & Retail Duties/Responsibilities: 
• Communicate with licensing partners 
• Keep global licensee lists up to date and accurate 
• Identify and track deadlines for meetings & reports 
• Modify and build presentation decks and Excel spreadsheets for various meetings and pitches 
• Assist in trade show planning and organization 
• Communicate with retailers on executional programs & planning 
• Keep accurate files of retailer contacts and sales forecast 
• Keep retail account list up to date and accurate 
• Develop and keep retail calendar, including retail marketing activations and key product placement 
Education and Experience 
• Bachelor’s Degree 
• Must have extensive knowledge of PowerPoint and Excel 
• 4-8 years of administrative experience preferred 
• Professional demeanor with an ability to handle multiple projects simultaneously 
• Requires strong MS Office and internet research skills 
• Flexible, organized, reliable and personable 
• The ability to appropriately interact with internal and external partners 
• Strong attention to detail 
• Excellent verbal and written communication skills
