Sr. Project Coordinator / Sales Support

European based Fragrance House seeks a Sr. Project Coordinator / Sales Support for their US Headquarters NY/NJ. The ideal candidate will have a minimum 3 years of experience in sales support, project coordination and/or customer service in the fragrance industry but 5 years of beauty or fragrance industry experience preferred 

The position will report to the Manager of Sales Support and Project Coordination and work closely with Account Executives to provide exceptional internal and external sales support and customer service. This client-focused position requires excellent organizational, time management, and Microsoft Office skills, as well as a strong ability to collaborate well with a diverse team and work independently to internally manage projects. 

• Be responsible for complete sales support to one or more Account Executives for fragrance briefs and new business development 
• Coordinate, execute and manage fragrance briefs and sales support needs for designated customers, including sample requests, regulatory and technical documentation and pricing 
• Handle customer inquiries by communicating necessary information and interfacing with the customer in partnership with the Account Executives 
• Manage the status of customer projects and provide updates to Account Executives as needed 
• Independently manage communication and status updates with customers 
• Communicate regularly with Account Executives and internal departments, keeping them informed of customer activity in a timely manner 
• Retain all core supplier agreements, contracts, and confidentiality agreements 
• Support Account Executives with administrative functions including client visits, correspondence and reports 
• Assist in the preparation of customer presentations and travel arrangements 
• Attend customer visits and participate in meetings and presentations with Account Executive as needed 
• Maintain customer project files electronically 
• Maintain business databases and generate reports, prepare and run reports and keep all databases up to date 
• Travel domestically and/or internationally, as required 

• A bachelor’s degree 
• Advanced proficient Microsoft Word, Excel and PowerPoint skills 
• A confident, outgoing and courteous personality  
• A high degree of self-motivation, to increase both our business and our company’s awareness in the industry marketplace 
• A highly organized, detail oriented, and customer-focused professional with strong time management skills 
• An excellent communicator, both verbal and written 
• Analytical with strong inter-personal skills 
• Capable of working as part of a team as well as independently and delivering good results even under time pressure 
• Able to quickly adapt to new software systems
