Job description

The Executive Assistant to the CEO will manage the day-to-day administrative responsibilities for the CEO, inclusive of but not limited to: calendar management, booking travel, organizing expenses and project management.  As the right-hand to the CEO, the Executive Assistant will operate with the utmost discretion while working with highly confidential information, ensuring impeccable attention to detail, organizational skills and thoroughness. In constant communication with both internal leadership as well as external partners and clients, the Executive Assistant will represent the CEO with professionalism, a positive spirit and a high-level of service.

 

RESPONSIBILITIES

•             Manage complex and ever-changing day-to-day schedules of the CEO via Microsoft Outlook, scheduling and organizing meetings across multiple time zones

•             Anticipate all needs of the CEO by thinking and working proactively with a one-step-ahead mentality

•             Prepare for meetings and appointments by creating agendas, preparing conference rooms and audio/visual needs

•             Review and prioritize emails and necessary communication in order to ensure timely responses

•             Correspond with Global leadership as well as internal and external partners (candidates, vendors, etc.,) on behalf of the CEO

•             Coordinate domestic and international travel arrangements; prepare detailed travel itineraries inclusive of flights, visas, hotels, meeting agendas, etc.

•             Screen phone calls and forward calls appropriately, communicating with external and internal partners in a professional manner

•             Oversee personal and departmental expenses submitting all necessary invoices and credit card expenses in Concur in a timely manner

•             Handle confidential information meticulously; escalate any required information with discretion

•             Ensure CEO remains organized and on-schedule through proactive, consistent communication throughout the day

 

PROFILE

•             7-10 years of experience as an Executive Assistant to members of the C-Suite and/or Executive Leadership in a high touch capacity

•             Significant experience working in Microsoft Outlook and PowerPoint required

•             Highly proficient in all other Microsoft Programs (Excel, Word, OneNote, etc.)

•             Exceptional written and verbal communication skills

•             Experience managing highly sensitive information with discretion and professionalism

•             Strong ability to work well under pressure in a fast-paced environment with a positive attitude

•             Highly organized; a strategic planner able to create, implement and improve organizational systems, both digital and physical files

•             Demonstrated project management skills

•             Ability to work proactively with a solution-oriented mindset and a can-do attitude; always thinking one-step-ahead

•             Impeccable attention to detail

•             Consistent desire to go above and beyond in all capacities
