One of our agency clients is looking for a freelance Executive Assistant to join their team for an exciting opportunity that could eventually turn into a contract-to-hire position.

This freelance Executive Assistant will be reporting to the agency's CEO and primarily responsible for meeting management/scheduling as well as other responsibilities as needed.

The freelance Executive Assistant must be a confident, strong communicator, extremely organized, and able to be proactive in their support of a senior executive at a large ad agency.

Ideal freelance Executive Assistant candidates will have:
- At least 5+ years of professional experience as an executive assistant, project manager, or client service manager
- BA degree in marketing, communications, or related field
- Independent working style and strong work ethic
- Ability to understand that and take ownership of critical tasks
- Ability to be proactive, anticipate challenges/opportunities, and make decisions to keep things moving; sometimes during periods of absence/slow response from the CEO
- Able to deliver clear and concise communication to the agency's executive leadership team, external partners, and the board members.
- Extremely responsive and able to stay on top of all calls/emails as necessary
- Proven ability to manage multiple calendars and meetings, invites, etc.
- Fully proficient and confident using Zoom, Google Suite (i.e. Gmail, Docs, Slides, Sheets, Google Drive, etc.)
- Manage site folders and access within Google Drive/Docs, granting permissions, making small edits, etc.
- Must be extremely proficient and comfortable using PowerPoint with ability to maintain the executive standard on decks for internal/external reporting
- Experience working between Powerpoint and Google Slides; integrating the two as needed
- Familiar with Box folders and able to manage site folders/access
- Proficient with Asana, Slack, and other project management and collaboration tools
- Availability to work outside normal working hours


Job Responsibilities:
- Maintain timing on getting weekly reports distributed
- Provide full attention to transparent communication and response times
- Constantly be aware of time zone differences/changes
- Create email templates, schedule emails, and manage email groups within Gmail
- Create and format tables, heading, etc. within Google Docs
- Work within Slides, Sheets, and Google Drive as needed, and download/convert documents to PPT format when necessary
- Create Adobe Acrobat pdf's of reports from Google docs, etc. updating tables of contents, adding shortcuts, etc.
- Work outside of normal business hours as needed
