Overview:
Our client, a boutique casting and production services agency, is seeking an Executive Assistant to the CEO, Executive Producer. This role is a flexible hybrid/onsite in NYC, as needed.
Responsibilities:
- Be the gatekeeper and point person for the CEO, Executive Producer with VIPs and clientele
- Oversee multiple calendars with heavy scheduling and global email communications across multiple projects
- Handle all office tasks and administrative duties for EP and clients, including but not limited to heavy phone traffic, travel arrangements, contact lists, meeting arrangements, attend meetings, taking meeting notes and drafting memos, handling shipping/deliveries, ordering office and production supplies, invoicing and expense reports
- Coordinate castings, including model decks, call sheets, check-in's and confirmations, all talent documents and forms and product delivery
- Assist in all aspects of production from pre-planning, on-set shoots to post-production, including overseeing PA's, talent and production clearances and paperwork and vendors
- Travel for shoots and productions
- Personal assistance as needed
Qualifications:
- 2+ years relevant Executive Assistant with production experience. Restaurant/hospitality/concierge experience is strongly preferred
- Must be extremely detailed oriented, solutions-oriented and resourceful
- Excellent communications skills liaising with high level VIPs and talent
- Foreign language abilities - Spanish, French or Italian speakers are a plus
- Ability to multitask, trouble-shoot and come up with creative solutions quickly
- Ability to work independently and with multiple stakeholders
- Demonstrated adaptability to work in diverse environments, ranging from remote locations to fast-paced sets and outdoor settings.
