We are looking for a Operations Team Coordinator to work with our client's Product, Design & Marketing Operations team. In this role, you will coordinate between multiple team leads and their respective groups and cross-functional partners.This role is for a highly organized, resourceful, and adaptable team player, who is both creative and results oriented and has a passion for helping
teams run smoothly.
This role is HYBRID in Culver City

Duration/End: 6 months with potential to extend
Hours per week: 40
Primary Responsibilities
Responsibilities will include but are not limited to:
• Meeting prioritization and scheduling between multiple Ops team leads and their cross functional partners
• Maintaining distribution lists for comms/icals across the various leads' teams
• Liase with executive admins to coordinate scheduling of key leadership meetings
• Assist with note-taking in select meetings and help drive post-action items
• Help organize and support team based events, all hands and offsites
• Maintaining shared team calendar
• Help communicate team updates
• Support project and priority tracking across Ops teams
• Support execution of Ops projects as needed
Key Qualifications
• 4+ years experience supporting discipline leads and/or cross-functional teams in an administrative capacity
• Experience working with / understanding the needs of creative organizations
• Experience collaborating with distributed teams
• Strong attention to detail and accuracy
• Superior organization skills - has an organized approach to time management, and is adaptable to inevitable changes
• Works effectively with minimal guidance and supervision, and can independently problem solve
• Adept and professional in communication with cross functional stakeholders and senior management
• Proven track record of navigating competing priorities, following up on actions items, meeting deadlines.
• Consistently adapts/improves their processes to get things done more effectively
• Discretion in handling confidential materials and issues
• Experience with Apple Mail, Apple Calendar, and Apple productivity apps (Keynote, Numbers, and Pages)
• Experience with virtual collaboration tools (Quip, Slack, Webex)
• Experience with project/task management tools (Airtable, Wrike or the like)
Education
• Bachelor's degree
