Our client is seeking a Program Operations Coordinator to support the delivery and operational execution of governance programs across a globally distributed organization. Reporting to the Director of Governance Operations Support, this role provides coordination, operational tracking, and administrative support across governance initiatives, including Legal and committee activities.
This position is ideal for someone who is highly organized, detail-oriented, and execution-focused, with strong coordination skills and the ability to manage multiple priorities in a fast-paced, international environment.
This is a six-month, W2 contract with a hybrid schedule.
Key Responsibilities
- Provide operational coordination and support across governance initiatives and activities.
- Assist with planning and logistics for global meetings and intersessionals, including scheduling, travel coordination, and meeting preparation.
- Maintain and manage communication channels such as mailing lists, surveys, and messaging groups.
- Track project timelines, deliverables, and action items using tools such as Smartsheet or similar project management platforms.
- Maintain shared inboxes, document repositories, and internal trackers to ensure accurate information flow.
- Provide regular status updates and flag risks or issues to leadership when needed.
- Draft and format operational communications, reports, presentations, and templates.
- Conduct quality control on program materials to ensure accuracy and consistency.
- Coordinate with internal teams (web, communications, and other stakeholders) to support updates to program-related content.
- Assist with vendor coordination, including contracts, renewals, invoices, and purchase orders.
- Support financial tracking and budget coordination under leadership guidance.
- Ensure adherence to organizational policies, compliance requirements, and governance procedures.
- Coordinate meetings, prepare agendas, capture meeting notes, and track follow-up actions.
- Prepare operational reports, spreadsheets, and presentations for leadership.
- Provide day-to-day operational support to governance leadership as needed.
Required Skills & Qualifications
- Excellent written and verbal communication skills in English
- Strong organizational and coordination skills with the ability to manage multiple priorities
- High attention to detail and ability to track multiple projects simultaneously
- Ability to work independently while collaborating with global teams
- Comfortable working within structured processes and escalation frameworks
- Proficiency with Microsoft Office, Google Workspace, and collaboration tools (e.g., Slack)
- Experience with project management tools such as Smartsheet preferred
- Ability to handle confidential and sensitive information with discretion
- Comfortable working in a multicultural, globally distributed environment
Education & Experience
- Bachelor’s degree preferred or equivalent professional experience
- 3–5 years of experience in program coordination, operations support, or project coordination
- Experience working in global or multinational organizations strongly preferred
- Additional language skills in a UN official language are advantageous
