Location: 5 days / week onsite in Santa Monica
Hours: 8:30am to 5:30pm
Primary Objective
To manage daily operations, promote an atmospheric and efficient working environment, coordinate inbound and outbound logistics and maintain effective communications within the company.
Key Responsibilities
Manage incoming calls, ensuring they are directed to the relevant parties promptly
Oversee the Marketing collateral program, including production and distribution coordination
Arrange all incoming and outgoing logistics services and manage deliveries, both inbound and outbound, and tender appropriately for cost saving measures
Order and replenish office supplies and staff amenities to maintain daily operational needs.
Promote a hygienic, safe and atmospheric office working environment including ensuring proper care for furniture, plants, video, office scent, and music
Oversee the maintenance and proper functioning of office equipment and production machinery, troubleshooting technical issues as needed and escalating investment requests to Senior Management.
Greet visitors and vendors upon arrival, assist them accordingly, and direct them to the appropriate departments or personnel.
Manage and control office security access including maintaining register of all alarm codes, keys, building passes etc.
Manage travel bookings for teams in advance e.g. flights, accommodation, and transport
Control all operating business vendors for system and building services and book in as required
Serve as a backup for quoting and administrative tasks related to the Contracts Department
