We have an excellent opportunity for a full time Event Planner on the Incentive travel team.  The Incentive Event Planner will work in the Travel & Events department in Irvine, CA*.  This person will help plan large-scale incentive and reward trips, both domestically and internationally, as well as provide on-site support at the event.  This position reports to the Incentive and Events Manager.

*This position is full time, in-office only


General Responsibilities
Incentive trip planning experience preferred
Plan award travel trips on both a national and international level for managerial and senior level employees of In-N-Out Burger  
International trip planning experience is highly preferred
Experience in planning corporate employee incentive events; will plan employee recognition events 
Research national and international destinations and means of travel, to include site selection, prices, passport and international travel requirements, tourism and customs
Ability to travel internationally, for 1-2 weeks at a time
Ability to be highly creative and plan “once in a lifetime” trips 
Ability to recommend and select onsite activities and excursions for attendees
Knowledgeable with booking travel and logistical planning
Supply travelers with pertinent information and useful travel/holiday material, such as guides, maps, event programs, etc.
Partner with creative team on program branding and collateral 
Develop and monitor travel budgets to ensure expenses are kept within established boundaries.  Review financial information for accuracy, and assist in the preparation of financial reports for the team and department
Attend incentive trips and provide on?site support and feedback to the team
Develop event budgets, timelines, surveys, and all quarterly metrics as they relate to the department incentive program
Provide exceptional customer service, but also derive the best value in terms of savings and service
Assist the Travel & Events department with other company sponsored events

Work Schedule + Benefits
Full-time, Exempt 
Office Hours in Irvine, CA: Monday-Friday, 8:00 am-5:00 pm 
Department needs will call for occasional evenings and weekends
Travel time: It is anticipated that 30% of the work time will be spent in the field and will require overnight and weekend travel, out of state, and out of country travel
Travel time: Will go on extended trips that last 1-2 weeks at a time (some trips may last up to 16 days)
Both domestic and international travel required

Qualifications
Bachelor’s degree preferred, ideally in Event management, hospitality, or related field
Minimum 3-5 years of incentive event planning experience
Demonstrated experience planning incentive events and reward travel for employees
Experience with In-house corporate event planning experience preferred
A minimum of 3-5 years hands-on experience in all facets of incentive/award travel planning
Experience planning national and international trips for large groups of employees, ranging from 50-2,000 employees
International trip planning experience highly preferred
Professional certifications a plus, such as Certified Special Events Professional (CSEP)  or Certified Meeting Professional (CMP) 
Strong experience with online registration systems
Proven history of providing outstanding customer service while proactively troubleshooting/problem solving
Excellent communication and interpersonal skills
Proven ability to negotiate, budget, plan and successfully manage a variety of events of 600 people or more
Strong contract negotiation skills 
Exceptional on-site event operation skills 
Proven ability to work on multiple projects simultaneously while remaining organized, efficient and flexible 
Highly motivated self-starter 
Excellent written and verbal communication skills; communication with all levels of management 
Ability to work autonomously/independently yet be an integral part of an overall team environment 
Knowledge of Microsoft office software, including Word and Excel; Online registration systems experience a plus
