DESCRIPTION & REQUIREMENTS

We have an excellent opportunity for a full time Executive Events Planner in our Travel & Events department in Irvine, CA*.  The Executive Events Planner will help provide concierge-level service in the planning and execution of travel and events for In-N-Out Burger’s leadership and executive team.  This person will report to the Executive Events Manager. 

*This position is full-time, in-office only

General Responsibilities
Manage travel arrangements for both personal and business travel for executives
Create concise travel itineraries for multiple VIP travelers; provide high level and high quality travel service 
Research and recommend national and international destinations, to include site selection, prices, passport and international travel requirements, tourism and customs, and activities
Develop and create trip presentations from research above
Generate trip ideas to produce memorable, once-in-a-lifetime trip experiences
Maintain Executive travel appointments by planning and scheduling meetings, events, and travel (domestic and international)
Maintain and update a busy calendar, including scheduling of business and personal appointments, special events, vacations, travel and other notable events; Extensive calendar management
Be able to book travel reservations including air, hotel and car rentals 
Execute personal requests such as dinner reservations, personal errands, and vacation planning
Respect the need for confidentiality and sensitivity of information
Provide consistent and ongoing concierge level support while traveling for events  
Manage onsite set up, inspect and prepare accommodations, ensure a seamless and memorable experience
Handle & Manage Multiple Expense Reports; Reconcile multiple credit card accounts and charges 
Administrative tracking, to include Logistics, Flight & Travel Logs, Digital Itineraries, Budgeting, Forecasting, and Reconciliation
Assist Executive Events Manager in miscellaneous projects as assigned

Work Schedule + Benefits
Full-time position, Exempt
Office Hours in Irvine, CA: Monday-Friday, 8:00 am-5:00 pm 
Nights, Weekends, and Holiday availability required
Travel: 30% travel, including overnight hotel stays, both domestic and international travel
Travel: 1-2 trips per year are longer durations.  1-2 weeks at a time travel domestic and internationally
On-call availability for travel changes and modifications

Qualifications
Bachelor’s degree in event planning, hospitality, marketing or related field preferred
5+ years experience as an Executive personal assistant, VIP travel planner, Concierge travel planner, or high level Corporate travel planning
5+ years experience planning trips for high-end VIP, Executives, or Corporate clients
Extensive experience planning domestic and international trips for executive teams
International trip planning experience for corporate and large groups
Must be able to travel domestically and internationally, to include long, international duration trips for 1-2 weeks at a time
Software proficiency in: Microsoft Office Suite, especially with expertise in PowerPoint.  Proficiency with travel expense management software such as Tripit and Concur.  Proficiency with Sabre
Ability to run personal errands
Must be polished, professional and positive; able to work long hours and weekends when needed, and be available at all hours to accommodate last-minute or unforeseen travel changes/issues
Must be highly flexible in work style
Proven history of providing outstanding customer service while proactively troubleshooting/problem solving 
Can appropriately handle time-sensitive, confidential information
Excellent written and verbal communication skills; communication with all levels of management 
Must be able to work on multiple projects simultaneously while remaining organized, efficient and flexible 
Ability to work autonomously/independently yet be an integral part of an overall team environment
