Workplace Services Coordinator -

The Facilities Coordinator is responsible for organizing and coordinating office/building operations and procedures in order to ensure organizational and operational effectiveness of our offices. This position is responsible for providing facilities services which may include maintaining office operation services, vendor/contractor management, repair and maintenance. This person will be an intricate part of the day to day and a have a huge impact on the company culture. We are looking for someone with not only great experience, but an upbeat and approachable attitude.


What the Job Entails

· Daily walkthrough of all floors/buildings

· Maintain conference rooms and various common spaces

· Act as the key communication point for Slack representing the entire Workplace Services team including Office Operations team providing first line communication to the general staff for all questions, comments, and requests

· Manage the JIRA ticketing system for Workplace Services; ensure all tickets are assigned, routed, and responded to in a timely manner

· Coordinate new hire desks set up; work closely with IT and OfficeOps to make sure desks set up are completed

· Ensure all kitchen equipment functions property

· Coordinate with appropriate parties regarding guests, meeting needs, deliveries, etc.

· Oversee the ERT program and make sure requirements are met

· Help coordinate Ergonomic Evaluations and order of related equipment

· Maintain relationship with building maintenance, freight carriers, and other vendors

· Assist with setup for internal events (CKU, Meet ups, Demo Day, Wednesday Night events, Yoga, meditation etc.)

· Backfill/assist all Workplace Services functions as needed

· Weekly meetings with manager to determine prioritization of projects and tasks

· Provide exemplary customer service to employees

· Maintains accurate seating/space utilization records, working with the company’s space occupancy tool (OfficeSpace)

· Help coordinate desk moves, adds & changes

· Must be able to lift 50 lbs and move around small office furniture, if needed

· Furniture assembly and installations (cabinets, coat racks, shelving, tvs etc.)

· Process contracts and invoices with accounts payable and legal

· Help manage and delegate tasks via the Workplace Services ticketing system (JIRA)

· Assist with special projects as needed - including nights & weekends Our Ideal Candidate

· Strong attention to detail – accurate data gathering, problem-solver, ability to manage logistical and tactical details

· Excellent computer skills including Windows, Microsoft Office, Google Applications and JIRA

· Ability to manage and develop multiple-step procedures and handle frequent interruptions in workflow

· Ability to work in a team environment with a diverse group of staff essential

· Minimum 3-4 years experience in Facilities

· Work experience in high-tech and/or start-up environment preferred
