  • Manage updates to marketing materials following packaging changes, product claims revisions, or other brand/content updates.
  • Coordinate the production of promotional items such as training cards, tear pads, in-office displays, and other branded materials.
  • Partner with external creative agencies, designers, and print vendors to ensure projects are delivered accurately, on time, and within budget.
  • Maintain an organized library of current, high-resolution brand assets, including product photography, logos, and other visual resources.
  • Support the rollout of monthly promotional initiatives and ensure all required materials are available for field teams.
  • Partner with international and headquarters teams to establish material codes and coordinate setup within internal systems, including SAP and warehouse platforms.
  • Oversee the ordering, fulfillment, and distribution of marketing materials through warehouse and print partners.

  • Coordinate with print vendors and headquarters teams to maintain adequate inventory and avoid supply gaps.
  • Assist with marketing budget administration, including expense tracking, invoice processing, purchase orders, and vendor coordination.
  • Identify opportunities to improve marketing processes, vendor management, inventory controls, and cross-functional workflows.
  • Support special projects and business initiatives as needed.
  • Serve as a primary marketing resource for the sales organization and respond promptly to day-to-day field requests.
  • Coordinate recurring monthly marketing orders for sales representatives, including brochures, promotional pieces, banners, displays, and customized materials.
  • Manage marketing requests associated with conferences, summits, meetings, and local field events, ensuring materials are prepared and delivered on schedule.
  • Coordinate onboarding materials for new sales hires, including marketing kits and business cards.
  • Provide timely assistance with approximately 2–3 daily field support requests, including shipment issues, missing materials, and last-minute event or promotional needs.
  • Monitor and troubleshoot shipments through third-party logistics and print partners, escalating issues when necessary.
  • Build strong relationships with sales representatives and proactively identify ways to improve their access to marketing resources.

Marketing & Sales Operations Coordinator Qualifications:

  • Previous experience supporting a sales team or field-based organization is highly preferred.
  • Experience in skincare, beauty, dermatology, consumer health, or a related industry is a plus.
  • Basic graphic design capabilities and familiarity with tools such as Canva, Adobe Photoshop, or Adobe InDesign are preferred.
  • Detail-oriented with strong follow-through and problem-solving capabilities.
  • Comfortable collaborating with cross-functional teams, international stakeholders, external agencies, printers, and other vendors.
  • Proficiency with Microsoft Office and the ability to quickly learn internal systems and operational platforms.
