Job Type: Long-term W2 contract (12+ months)
Location: D.C. – hybrid schedule
Our client is seeking a contractor to serve as an events planner, reporting to the Deputy Director, Operations and Special Events. This person will be responsible for planning, managing and executing both in person and/or virtual events, and is the administrator for the event management system, a space booking software.
Responsibilities
- Plan and execute local, domestic, and virtual events, including programs, conferences, ceremonies, exhibitions, and VIP visits
- Manage all event logistics — venues, contracts, staffing, equipment, décor, entertainment, transportation, and scheduling
- Recruit, train, and brief staff and volunteers; oversee on-site execution and troubleshoot as needed
- Prepare event folios, reports, budgets, and written procedures; evaluate events for quality and improvement opportunities
- Serve as the administrator for the Museum’s event management system, overseeing space requests, training users, and troubleshooting system issues
- Facilitate key internal meetings and working groups, prepare agendas, document actions, and ensure follow-up
- Maintain documentation, track enhancements, and drive operational improvements across event systems and processes
Requirements
- 5–7 years of event management experience; CMP certification or equivalent preferred
- Strong knowledge of event planning, logistics, and administrative management
- Proficient in virtual event platforms (e.g., Zoom, StreamYard)
- Skilled in analysis, organization, and report preparation
- Excellent verbal and written communication; able to collaborate effectively with internal teams and external partners
- Proven ability to work independently and in teams, manage multiple projects, and adapt to shifting priorities
- Experience with space management systems a plus
