Client Overview:
Our client, a professional haircare brand, is seeking an Executive Assistant to join their team 4 days per week.
Role Overview: The Executive Assistant provides comprehensive administrative support to senior leadership while ensuring the smooth day-to-day operations of the office. This role involves managing schedules, coordinating meetings and travel, handling communications, and maintaining an organized and efficient work environment. The ideal candidate is proactive, detail-oriented, and able to balance multiple priorities in a fast-paced, team-oriented setting.
Executive Assistant Responsibilities:
• Provide high-level administrative support to the President and executive team.
• Manage complex calendars, schedule meetings, and coordinate conference calls.
• Arrange domestic and international travel, accommodations, and itineraries.
• Prepare and process expense reports, invoices, and correspondence.
• Support general office operations, including mail handling, supply inventory, and vendor coordination.
• Maintain organization and readiness of meeting spaces and common areas.
• Greet and assist visitors; manage incoming calls and communications professionally.
• Plan and coordinate company events, team activities, and office gatherings.
• Assist with special projects and provide support to department leaders as needed.
Executive Assistant Qualifications:
• Strong organizational, time management, and multitasking skills.
• Excellent written and verbal communication abilities.
• Professional, resourceful, and able to maintain confidentiality.
• Proficient in Microsoft Office Suite, Google Workspace, Zoom; experience with Concur is a plus.
• Ability to collaborate effectively across teams and levels of the organization.
• Minimum of two years of administrative or executive assistant experience; associate degree preferred.
