Client Overview: Our client is a global hedge fund that invests across public and private markets. They seeking a highly organized and detail-oriented Executive Assistant to support the Head of Capital Markets.

Role Overview: A successful candidate will demonstrate sound judgment across a variety of situations while maintaining excellent communication and organizational abilities. This individual should be comfortable working autonomously in a fast-paced environment, managing multiple responsibilities, and handling sensitive information with the highest level of discretion.

Executive Assistant Responsibilities:

  • Oversee a dynamic and complex calendar while ensuring the Head of Capital Markets remains informed of upcoming meetings, priorities, and obligations
  • Coordinate detailed domestic and international travel arrangements, including itineraries, meeting schedules, and preparation of materials for business trips
  • Adhere to internal procedures and policies, including travel coordination and expense management, while partnering with Compliance to secure necessary approvals
  • Anticipate scheduling conflicts or logistical challenges and address them proactively to ensure projects and commitments are completed within tight timelines
  • Plan and coordinate team events, including internal gatherings, social activities, and group outings

Executive Assistant Qualifications:

  • 5 years experience providing administrative support to senior executives
  • Exceptional organizational and time-management abilities with strong attention to detail and the capacity to manage multiple priorities simultaneously
  • Excellent interpersonal skills with the ability to build effective relationships across teams
  • Strong written and verbal communication capabilities
  • Self-starter with a proactive mindset and sound problem-solving and decision-making skills
  • Demonstrated ability to manage confidential information with professionalism and discretion
  • Strong commitment to delivering high-quality client service
  • Experience supporting stakeholders across global offices or working within an international organization
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), as well as tools such as Adobe Acrobat and Zoom
  • Dedication to maintaining the highest standards of integrity and professionalism
