About the Role
We are seeking a part-time Executive Assistant to support a senior operations leader at a fast-paced organization. This is a short-term, onsite role ideal for a highly organized, proactive EA who can efficiently manage a busy executive’s day-to-day needs in a limited number of weekly hours.
The Executive Assistant will have a dotted-line reporting relationship to a senior strategy leader and will work closely with senior leadership to keep calendars, meetings, travel, and logistics running smoothly.
Key Responsibilities
- Provide day-to-day executive support to a senior operations leader in a part-time capacity (approximately 10 hours per week).
- Own calendar management: schedule, reschedule, and prioritize meetings; coordinate with internal and external stakeholders to minimize conflicts.
- Coordinate meeting logistics: prepare schedules, book conference rooms, set up video calls, and ensure all technology and materials are ready.
- Support offsite planning: assist with logistics, timing, basic vendor coordination, and ordering supplies or materials as needed.
- Place and manage orders (e.g., Amazon, food ordering or similar) to support meetings, offsites, and day-to-day needs.
- Handle food ordering for meetings and events, including confirming headcounts, timing, and delivery details.
- Assist with domestic travel planning: research and coordinate flights, hotels, ground transportation, and itineraries.
- Monitor and respond to scheduling-related communications in a timely, professional manner.
- Maintain confidentiality and use discretion in handling sensitive information.
- Provide other light administrative and organizational support as requested to ensure the executive’s time is used efficiently.
Qualifications

Experience: Approximately 2+ years of experience as an Executive Assistant, Administrative Assistant, or similar support role.
- Proven experience managing complex calendars and scheduling across multiple time zones and stakeholders.
- Comfortable coordinating meetings, offsites, and small events, including logistics and food ordering.
- Experience arranging basic travel (flights, hotels, ground transportation) and preparing itineraries.
- Strong organizational skills with the ability to prioritize and execute in a limited number of working hours per week.
- High level of professionalism, discretion, and judgment when working with senior leaders and confidential information.
- Strong written and verbal communication skills.
- Comfort working onsite in the El Segundo/LAX area.
Schedule & Work Environment
- Approximately 10 hours per week; specific schedule to be aligned with the needs of the executive and strategy leader.
- Onsite at an office location in the El Segundo area near LAX.
