Fabric/Trim Coordinator
The Fabric/Trim Coordinator supports the product development and production teams by managing trims, labels, and related materials across multiple product categories. This role owns the day?to?day coordination of trim development, tracking, organization, and communication with both internal partners and external vendors.
Key Responsibilities
- Coordinate the end?to?end trim development process to support innovation, quality, and on?time delivery.
- Maintain and regularly update a trim tracker for all new developments, re?developments, and status changes.
- Organize and maintain the physical trim library, including samples, hand standards, and reference materials.
- Prepare and ship trim and fabric samples for testing, development, and vendor review; monitor and record all outgoing and incoming packages.
- Update PLM and shared drives with current artwork, TDS, testing reports, and images to ensure accurate and complete records.
- Proactively review PLM records to identify and resolve missing or outdated testing, TDS, or images.
- Maintain current artwork files and ensure all final versions are stored and labeled consistently in PLM and shared systems.
- Monitor trim inventory levels and place replenishment orders with nominated vendors for out?of?stock or low?stock items.
- Keep the trim room and back?stock areas organized, labeled, and easy for cross?functional partners to navigate.
- Catalogue trims by category, usage, and season to build a usable, searchable trim library.
- Partner with vendors to track sample requests, confirm delivery timelines, and update all dates and comments in the trim tracker.
- Create and maintain ART codes and any related data in PLM for all active trims.
- Build and update reference boards by trim type and key usage to support design and merchandising decisions.
- Compile reference binders of trims by product line or design team to ensure quick access to current options.
- Serve as a point of contact for design trim requests, ensuring timely follow?up, clear communication, and accurate documentation.
- Clean up PLM data for inactive trims; add notes regarding replacement options, updated ART codes, or phase?out status.
- Help plan and execute seasonal trim reviews/fairs to showcase new and updated trims to design and product teams.
- Maintain a seasonal trim “wish list” based on design direction and upcoming product needs, and share with vendors.
- Schedule vendor meetings and visits, prepare materials in advance, and capture follow?up actions.
- Set up and manage thread codes and related details for product development partners.
Qualifications
- 2+ years of experience in trims, fabrics, raw materials, product development, or a related production role.
- Proficiency in Microsoft Office (Excel, Outlook, Word; PowerPoint a plus).
- Experience using task or project management tools (e.g., Asana or similar platforms).
- Background or strong exposure to trims, raw materials, or textiles preferred.
- Strong attention to detail with excellent organizational and follow?through skills.
- Clear, concise communication skills and the ability to work effectively with cross?functional teams and external vendors.
- Ability to manage multiple priorities, adapt to shifting timelines, and work in a fast?paced environment.
