Job description

PR Coordinator (Full-Time)

Location:

5 days per week onsite in NYC (flatiron area)

We are seeking a sharp, driven, and deeply plugged-in PR professional with strong relationships across national, regional, and emerging editors in fashion, beauty, hospitality, lifestyle, and wellness. Positioned between PR Assistants and Managers, this role plays a critical support and execution function—ideal for a detail-oriented professional who thrives in a fast-paced environment and contributes meaningfully to media relations, influencer strategy, sample operations, and event coordination.

The PR Coordinator is a proactive communicator, skilled executor, and relationship-builder who supports integrated campaigns while overseeing the day-to-day logistics that keep operations running smoothly. This position offers direct exposure to stylists, editors, influencers, and clients—ideal for someone aiming to grow into a broader PR leadership role.

Key Responsibilities

Media & Press Relations

  • Develop and maintain strong relationships with editors, market assistants, and fashion/lifestyle/hospitality press across short-lead, long-lead, and digital outlets.
  • Help build and sustain relationships with celebrity stylists, influencers, and talent representatives.
  • Manage and respond to daily inbound/outbound press and stylist requests, including email correspondence, shipping logistics, and messenger coordination.
  • Draft press releases, media alerts, talent announcements, and product-focused materials for internal review and approval.
  • Identify and cultivate key creators and tastemakers in each market, leveraging them for launches, seasonal narratives, brand gifting, and always-on awareness.
  • Support award show and VIP engagement by managing outreach lists and overseeing all sample coordination.
  • Maintain guest lists, develop monthly press and event recaps, and support spokesperson engagement to maximize press impact.
  • Conduct weekly targeted pitching and prepare media blasts for trend, campaign, and red carpet coverage, keeping all master media lists consistently updated.
  • Create and maintain master media contact documents and ensure all contact databases are accurate and organized.

Samples & Closet Management

  • Oversee daily sample trafficking across editorial, VIP, and influencer requests using platforms such as Launchmetrics (Fashion GPS) and shared documents.
  • Manage and coordinate seasonal sample orders, international shipments, and inventory reconciliation with production, retail partners, stylists, media, and influencers.
  • Oversee all sample closet logistics, including intake, inventory, seasonal rotation, dry cleaning, organization, and overall maintenance of the PR closet.
  • Support styling needs for editorials, founder shoots, and media walk-throughs; manage pulls, returns, and tracking.
  • Facilitate product send-outs for wear tests, influencer reviews, and editorial placement.
  • Maintain inventory records and oversee ongoing sample tracking, press clippings, database updates, and reporting carried out by junior team members.

Influencer & Celebrity Relations

  • Identify, build, and maintain influencer and talent target lists, executing personalized seeding initiatives and campaigns from outreach through gifting, including use of affiliate and commerce platforms.
  • Support influencer partnerships end-to-end, monitoring performance, documenting placements, and flagging high-impact opportunities for amplification.
  • Proactively pitch and track press coverage for celebrity/VIP dressing, editorials, gifting, red carpets, events, and campaigns.

Reporting & Analytics

  • Track and compile weekly, monthly, and quarterly coverage and campaign performance, including analytics, key learnings, and recap reports.
  • Maintain master press tracking documents across all assigned clients.
  • Oversee assistants responsible for press clippings, credit confirmations, and post-blast coverage tracking.

Events & Activations

  • Contribute to team-wide initiatives, including event preparation, mailers, seasonal press previews, and creative brainstorms.
  • Own daily send-outs, seeding plans, and logistical execution for press events, previews, and influencer activations.
  • Maintain and manage media contact lists, mailing lists, team calendars, and core reference documents.
  • Help build guest lists, liaise with RSVPs, and track press and influencer attendance.
  • Oversee front-of-house operations and check-in at select events.
  • Prepare, pitch, and track all post-event press coverage and social placements.

Team Leadership & Collaboration

  • Manage and mentor interns, apprentices, and assistants, supervising daily logistics, task follow-through, and report preparation.
  • Effectively “manage up” by communicating needs, timelines, and updates to senior team members.

Administrative & Systems

  • Support credit checks, digital pull requests, and media asset sharing across platforms and partners.
  • Compile monthly industry trend reports and competitive landscape insights.
  • Maintain shared cloud folders, spreadsheets, and asset libraries with updated PR plans, sample logs, seeding trackers, imagery, and press materials.

Required Qualifications

  • 2–3 years of paid fashion PR experience (agency or in-house required; internships alone are not sufficient).
  • Deep understanding of fashion and media landscapes, including editorial calendars and industry cycles.
  • At least two years of experience in sample trafficking and logistics.
  • Existing relationships with stylists, editors, and influencers strongly preferred.
  • Excellent written and verbal communication skills, with professional email and phone etiquette.
  • Highly organized with strong time-management skills and the ability to balance competing priorities.
  • Proficiency with PR and communications platforms such as Launchmetrics/Fashion GPS, Muck Rack, Wearisma, Cision, and Microsoft Office (or Google Workspace).
  • Fluency in social media platforms including Instagram, TikTok, and YouTube.
  • Experience with SEO, Google Analytics, and influencer/affiliate platforms is a plus.
  • Positive, proactive team player with strong attention to detail and a genuine passion for media, fashion, and culture.
