This role is for an experienced Project Manager with deep expertise in Monday.com and a strong background in marketing and creative processes. The Project Manager will lead the setup, optimization, and adoption of Monday.com across the team, while also establishing sustainable workflows, documentation, and training to ensure long-term success after the engagement concludes.
Key Responsibilities:
- Serve as the primary Project Manager and Monday.com expert, driving work and ensuring effective use of the platform across the team.
- Audit existing Monday.com boards and provide detailed recommendations for improvement and optimization.
- Review and assess current desk manuals and process documents, identifying gaps, outdated content, and opportunities for enhancement.
- Define a regular audit cadence for process documentation, including ownership, frequency, and workflows.
- Create a dedicated Monday.com board to manage and track the ongoing updating of desk manuals and process documents.
- Design and implement a scalable Monday.com framework, including guidance on:
- Which teams, projects, or individuals should have boards.
- What belongs on personal boards versus project, task, or team boards.
- Train staff on the agreed Monday.com framework and best practices for daily use.
- Meet individually with staff members to answer questions and provide hands-on guidance on how to use Monday.com effectively.
- Collaborate with managers to align on the overall wireframe and structure of all Monday.com boards and ensure appropriate access and links are in place.
- Capture and incorporate lessons learned from past boards, workflows, and processes into the new structure.
- Develop structure and training for how staff should organize Outlook (or similar email tools) to effectively manage notifications and emails generated by Monday.com.
- Establish a daily or regular routine for staff to check specific email folders or views to review assignments and updates.
- Identify, designate, and prepare an internal subject matter expert (SME) who will serve as the ongoing point of contact for Monday.com questions after this engagement concludes.
- Create clear documentation and onboarding materials for new staff that explain how and when to use Monday.com.
- Assist staff with building out their Monday.com boards, including guidance on structure, views, and fields.
- Recommend, configure, and refine Monday.com automations that support efficient workflows and reduce manual effort.
Required Qualifications:
- Proven experience as a Project Manager, preferably in a marketing, creative, or related environment.
- Advanced, hands-on expertise with Monday.com, including board design, workflows, and automations.
- Demonstrated experience implementing or optimizing project management tools and frameworks for teams.
- Strong understanding of marketing and creative project lifecycles, processes, and collaboration needs.
- Experience auditing and documenting processes, including the creation and maintenance of desk manuals and SOPs.
- Excellent communication and training skills, with the ability to present complex tools and processes in a clear, accessible manner.
- Ability to work independently, manage multiple stakeholders, and drive initiatives in a part-time, remote setting.
- Strong organizational skills, attention to detail, and a process-oriented mindset.
- U.S.-based and able to work remotely within agreed hours.
Preferred Qualifications:
- Experience supporting cross-functional marketing or creative teams.
- Prior work establishing long-term governance or SME structures for tools like Monday.com.
- Familiarity with integrating email and project management workflows, particularly within Outlook.
