Event Project Manager

Employment Type: Full-Time

We are seeking a highly organized and proactive Event Project Manager to oversee the planning and coordination of dynamic events from concept through final execution readiness. This role is ideal for a detail-oriented professional who excels at balancing logistics, timelines, vendor management, and client expectations while keeping projects moving smoothly from start to finish.

The Event Project Manager will play a central role in pre-production, ensuring every event is thoughtfully planned, clearly documented, and fully prepared for onsite success. The right candidate brings a strong foundation in project management, excellent communication skills, and the ability to adapt quickly in a fast-paced environment.

What You’ll Do

  • Lead event planning and pre-production efforts from kickoff through execution handoff
  • Collaborate with clients, internal teams, and key stakeholders to define goals, scope, and event requirements
  • Create and manage detailed project timelines, production schedules, and planning documents
  • Coordinate with venues, vendors, caterers, and service providers to align logistics and deliverables
  • Monitor budgets, timelines, and resource allocation to support efficient project execution
  • Identify potential issues early and develop practical solutions to maintain project momentum
  • Ensure all permits, contracts, approvals, and compliance requirements are handled appropriately
  • Partner with onsite teams to support a seamless transition from planning to live event execution
  • Facilitate post-event evaluations and recommend process improvements for future programs
  • Maintain strong professional relationships with clients, partners, and internal collaborators

What You Bring

  • Experience in event management, project management, production coordination, or a related field
  • Strong organizational and multitasking skills with exceptional attention to detail
  • Ability to manage multiple projects and deadlines in a fast-paced setting
  • Excellent communication, negotiation, and relationship-building abilities
  • Confidence making decisions, solving problems, and adapting to changing priorities
  • Professionalism and discretion when working with sensitive or high-profile information
  • Ability to work independently while also collaborating effectively across teams
  • Willingness to travel as needed for meetings, site visits, and event support

Preferred Qualifications

  • Experience with event planning systems, project management tools, or production software
  • Knowledge of budgeting, invoicing, and event-related financial tracking
  • Familiarity with current event industry practices, trends, and operational standards
  • Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, Project Management, or a related discipline

What Sets You Apart

  • You stay composed under pressure and keep projects organized through every phase
  • You anticipate needs before they become problems and respond with practical solutions
  • You balance creativity and logistics with equal confidence
  • You build trust quickly with clients, vendors, and team members
  • You are committed to delivering polished, high-quality experiences
