Account Associate

Location: fully onsite in NYC

Position Overview

We are seeking a highly organized, client-focused Account Associate to support packaging and design clients from initial inquiry through final delivery. This role partners closely with Account Managers, production partners, and internal creative teams to keep projects moving, communicate progress clearly, and deliver an exceptional customer experience.

The ideal candidate thrives in a fast-paced environment, balances multiple priorities with accuracy, and brings a proactive, sales-minded approach to client service and project coordination.

What You’ll Do

  • Support Account Managers with the daily coordination and execution of client packaging, design, and production projects.
  • Manage incoming client requests, project timelines, deliverables, action items, and follow-up communications.
  • Prepare estimates, collect vendor pricing, generate quotes, and assist with order entry and contract processing.
  • Coordinate client meetings, showroom appointments, internal status meetings, and project update calls.
  • Create and maintain meeting agendas, project trackers, client notes, and status reports.
  • Communicate project milestones, deadlines, next steps, and potential risks to clients and internal stakeholders.
  • Track customer orders, production schedules, shipments, and deliveries to support complete, on-time fulfillment.
  • Respond to account-service questions, sales inquiries, and new business leads with professionalism and urgency.
  • Maintain accurate client profiles, order records, inventory data, projected sales information, and account documentation.
  • Assist with inventory analysis, reporting, data validation, and resolution of discrepancies across spreadsheets and systems.
  • Conduct sales research and support leadership reporting initiatives.
  • Welcome visitors, answer incoming calls, and provide a polished, solutions-oriented client experience.
  • Proofread client-facing documents, order details, and design-related materials for completeness and accuracy.
  • Provide administrative and operational support to the Managing Director and company leadership as needed.

What You Bring

  • Bachelor’s degree preferred, or equivalent relevant professional experience.
  • Three or more years of experience in account coordination, customer service, sales support, operations, or project administration.
  • Strong organizational skills and the ability to manage multiple active projects while maintaining close attention to detail.
  • Excellent written and verbal communication skills, with confidence interacting with clients, vendors, and internal teams.
  • A proactive, dependable work style with strong follow-through and ownership.
  • Comfort working independently while collaborating effectively within a team environment.
  • Proficiency with Microsoft Office, particularly Excel and Word, along with Google Workspace tools.
  • Strong numerical aptitude and the ability to accurately review pricing, specifications, quantities, and delivery details.
  • Experience with CRM, ERP, order-management, or inventory systems; NetSuite experience is a plus.
  • Ability to adapt quickly, prioritize competing requests, and remain composed in a deadline-driven environment.
