Event Planner
Mon – Thurs in Office, Friday Remote

Employment Type: Full-Time

We are seeking a detail-oriented and resourceful Event Planner to manage the strategy, coordination, and delivery of impactful meeting and event programs. This role is ideal for a professional who thrives in a fast-paced environment, enjoys balancing logistics with client service, and can confidently oversee multiple projects from concept through completion. The Event Planner will play a key role in creating exceptional attendee experiences through thoughtful planning, strong vendor partnerships, and flawless execution.

Key Responsibilities

  • Plan and execute meetings, conferences, incentives, and special events from kickoff to post-event wrap-up.
  • Coordinate core logistics including venue selection, rooming lists, travel arrangements, food and beverage planning, transportation, and audiovisual needs.
  • Develop detailed project timelines, production schedules, run-of-show documents, and planning trackers.
  • Source venues and suppliers, issue RFPs, compare proposals, and support contract negotiations.
  • Track program budgets, monitor expenses, reconcile invoices, and help ensure financial accuracy throughout the event lifecycle.
  • Partner with internal teams and external stakeholders to ensure event goals, branding, and operational requirements are met.
  • Prepare client-ready documents, presentations, and event communications.
  • Manage registration-related coordination and support digital event tools where needed.
  • Oversee onsite execution, troubleshoot issues in real time, and maintain a high standard of service delivery.
  • Support virtual and hybrid event components, including platform coordination and speaker logistics.
  • Maintain organized records, final reports, and post-event documentation.
  • Identify opportunities to improve planning processes, attendee experience, and program efficiency.

Client & Stakeholder Support

  • Serve as a key point of contact for clients, vendors, and event stakeholders throughout the planning process.
  • Provide timely updates, respond to questions, and communicate changes clearly and professionally.
  • Build strong relationships with supplier partners and internal collaborators.
  • Offer recommendations and solutions that align with event objectives and budget expectations.
  • Participate in planning calls, status meetings, and post-event debriefs.
  • Help coordinate onsite staff, support teams, and other event resources as needed.

Qualifications

  • 3+ years of experience in event planning, meeting management, hospitality, or a related field.
  • Experience coordinating vendors, venues, and event logistics required.
  • Budget tracking and reconciliation experience preferred.
  • Strong customer service and stakeholder management experience.
  • Familiarity with event technology platforms and virtual meeting tools is a plus.
  • Experience supporting onsite event execution and travel as needed.
