Part-Time Project Manager

Location: On-site Monday, Wednesday, and Friday

Preferred Start Time: 8:30 AM

Schedule: Part-time / contract role.

Environment: Museum, nonprofit, agency, publishing, design, or marketing-adjacent environment

About the Role

We are seeking a highly organized, collaborative Project Manager to support cross-departmental initiatives in a mission-driven, human-centered environment. This role will help keep projects moving, maintain schedules, communicate with stakeholders, and ensure follow-through across multiple teams.

The ideal candidate is “Type A” in how they track details, manage timelines, and organize priorities, but warm, flexible, and collaborative in how they work with people. This person should be comfortable creating structure, driving accountability, and keeping others on track without being overly rigid.

Projects and priorities are already planned well in advance, often across the full fiscal year, so this person will step into an established project ecosystem and help maintain momentum, visibility, and communication.

What You’ll Do

  • Manage project traffic, scheduling, and coordination across department initiatives
  • Own and maintain the master project schedule, ensuring timelines, deliverables, and next steps stay visible
  • Communicate regularly with stakeholders to drive accountability, send reminders, and follow up on outstanding items
  • Facilitate meetings, including project kickoffs, troubleshooting sessions, and postmortems
  • Coordinate print buying, including purchase orders, invoice reconciliation, and file maintenance
  • Track budgets, identify potential issues, and escalate flags as needed
  • Support cross-functional communication across multiple departments
  • Ensure projects are organized, documented, and moving forward efficiently

What We’re Looking For

We are looking for someone who can bring immediate value with limited ramp-up. Because this is a fractional, part-time opportunity, the strongest fit may be a more experienced Project Manager who is comfortable stepping into an established process and quickly owning the details.

This person should have excellent follow-through, and the ability to work effectively with creative, marketing, publishing, museum, nonprofit, or similarly collaborative teams.

Must-Haves

  • 2+ years of project management or project coordination experience in a museum, nonprofit, agency, publishing, design, or marketing environment
  • Strong proficiency in PM tools
  • Excellent organization, attention to detail, and follow-through
  • Strong communication skills and comfort driving accountability
  • Ability to facilitate in-person meetings, kickoffs, troubleshooting sessions, and postmortems
  • Comfortable working across multiple departments and stakeholder groups
  • Efficient, proactive, and able to manage multiple moving pieces at once

Nice-to-Haves

  • Airbase experience
  • Experience with Google Workspace
  • Background in design, marketing, publishing, or creative project management
  • Experience supporting fiscal-year project planning
  • Print buying or production coordination experience
  • Budget tracking, PO, invoice reconciliation, or file maintenance experience
