Job description

Our client, a well known Womens Contemporary Brand, is seeking an entry level Executive Assistant to join their team!

Location-100% onsite in West Hollywood (non negotiable)
Salary-Up to $90K DOE

This is a fulltime direct hire role with flexibility being key based off of business needs.


What You Will Do:

  • Provide general administrative assistance, including managing correspondence, scheduling appointments, and organizing meetings and events.
  • Assist in running personal errands for executives, including picking up/dropping off items, making reservations, and other tasks as needed.
  • Manage calendars, schedule appointments, and coordinate meetings. Send out meeting invitations, reserve meeting rooms, and ensure all necessary resources are available.
  • Support in arranging travel accommodations, including flights, transportation, and accommodations. Prepare itineraries and ensure smooth travel logistics.
  • Answer phone calls, respond to inquiries, and redirect calls or messages as appropriate. Interact professionally with clients, vendors, and colleagues, maintaining a positive and helpful attitude.
  • Assist with drafting, editing, and formatting documents, reports, and presentations.
  • Accurately enter and maintain data in spreadsheets, databases, and other systems, ensuring data integrity and confidentiality.
  • Maintain organized and up-to-date physical and electronic filing systems, ensuring easy retrieval of documents and information.
  • Attend meetings and take accurate and concise meeting minutes. Prepare summaries, action items, and distribute them to relevant parties in a timely manner.
  • Assist in monitoring and maintaining office supplies, equipment, and inventory levels.

Who You Are:

  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software. Ability to learn new software and tools quickly.
  • High school diploma or equivalent required. Additional education or certification in office administration or a related field is a plus.
  • Strong attention to detail and excellent organizational skills to manage multiple tasks and prioritize effectively.
  • Demonstrated ability to meet deadlines, handle time-sensitive tasks, and work efficiently in a fast-paced environment.
  • Good written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders.
