Job description

The Facilities and Maintenance Coordinator will work closely with the Facilities Manager to support all facilities activities, including the maintenance of retail store systems (mechanical, electrical, store repairs, and fire life safety). This role provides support to store operations for repair and maintenance issues, assisting with the daily flow and process of repair requests, preventative maintenance programs, and new construction. The Coordinator will manage minor to medium-sized brand initiatives, rollouts, retrofits, and special projects.

Essential Functions:

Priority 1:

  • Receive, evaluate, and process all maintenance requests from store level into a web-based program.
  • Assign vendors based on trade, store location, and repair needs.
  • Generate service requests through the tracking system.
  • Make decisions on repairs/service requests not exceeding $500.
  • Manage subcontractors for quality, timeliness, and urgency.
  • Assign target completion dates for work.

Priority 2:

  • Analyze work orders and align with budget needs.
  • Maintain positive relationships between store facilities and field personnel.
  • Support the Facilities Manager with project implementation, ensuring accuracy and timely management of work orders.
  • Update and maintain data in tracking systems.
  • Close out work orders promptly, following up with vendors and stores to ensure completion and requirement fulfillment.
  • Complete follow-up and accrual-invoice requests to fully close out open work orders.

Priority 3:

  • Assist in the closure of stores and manage related issues until completion.
  • Handle new store openings, vendor operations, and procurement of recurring services.

Qualifications:

Education:

  • Associate Degree required.

Experience Level:

  • Mid-Level, with 2-4 years of experience in retail store facilities and some construction knowledge.
  • Must have experience managing maintenance request for retail store fronts, mall property or building property. 

Special Knowledge or Skills:

  • Basic understanding of maintenance repairs and the ability to determine proper work scope.
  • Comfortable using a computer and proficient in Microsoft Office Suite, particularly Excel.
  • Good communication skills, both written and verbal.

Estimated End Date: January/February 2025

Daily Schedule: 7:30am – 4:30pm, in-person in Downtown Los Angeles.
