Job Description: 
 About the role: This role will support the head of regulatory on administrative duties related to documentation required for global registration. It will also encompass working with the PD Team and cross functional dept on quality assurance and reform projects as assigned by head of regulatory.
Key Areas of Responsibility:
  • Document Control Manage internal and external documents including collecting all technical documents COA, testing reports, SDS, etc.
  • Review and maintain documents so they are up-to-date
  • Organize and file documents in physical and digital formats
  • Maintain confidentiality and safeguard sensitive information such as CM’s reports, GMP’s, etc.
  • Prepare reports on the progress of document as required Maintain several Product Information logs such as packaging information, free-from ingredients, shelf life and PAO info, etc.
  • Create form templates for global marketing registrations purposes such as letter of authorization, free sales certificate, letter of authentication, etc.
  • Verify document completeness and format requirements.
  • All other responsibilities as assigned.
  • Quality Assurance Managing the quality assurance of products by testing samples for each new batch of each product
  • Help maintain retain room and samples
  • Establish and maintain reformulation timelines and log
  • Keep the product standard Help coordinate and log reform samples
  • Assist with product mock ups All other responsibilities as assigned

Qualifications, relevant skills & attributes:
  • Outstanding organizational skills with a high attention to detail and process driven Good typing and proofreading skills
  • Excellent time management skills and ability to follow direction
  • Excellent interpersonal and communications skills, both verbal and written at conveying information in a clear, focus and concise manner
  • Proficient in MS Office – Outlook 365, Excel, Word, Sharepoint, etc.
  • Experience in beauty industry and product registration a plus At least 1-2 years of experience in a skincare /colour cosmetics production/document control
  • Must have a bachelor’s degree or equivalent experience
  • Must have ability to build and maintain effective relationships with both internal and external customers to facilitate effective communication of project needs
  • Must demonstrate pro-active approach in problem-solving with proposal for smart solutions
  • Must be Proficiency at conveying information in a clear, focus and concise manner
  • Must feel comfortable being driven by deadlines with a high sense of urgency
