Our client, a leader within commercial real estate, is looking for a detail oriented Administrative Assistant to support their marketing team. This is an on-going contract position and will be hybrid onsite in Irvine and remote.
Key Responsibilities and Qualifications:
- Coordinate and schedule meetings for the team and executives
- Ensure all materials are prepped and distributed prior to meetings
- Take meeting notes as needed
- Create presentations and PowerPoints as needed
- Plan and execute team lunches and events
- Manage team expenses
- Process expense reports
- Receive and manage new invoices
- Draft correspondence as needed
- Assist in tracking leads through SalesForce
- Various ad-hoc projects
- 3+ years administrative experience
- Interest in marketing
- Strong time management and organization skills
- Ability to manage multiple projects at once and prioritize accordingly
- Ability to thrive in a fast paced environment
- Self-starter who is eager to help where needed
- Familiarity with Google Suite and Microsoft Office
- Ability to quickly learn new programs and processes
- Excellent written and communication skills
