We are looking for an Administrative Assistant to join our client's Global Badge Team! Our ideal candidate must report to San Francisco headquarters. The work requires badge team engagement and printing badges that is in office work.
-Excellent people skills
-Understands how to format documents, spreadsheets, slides
-Spreadsheet formulas such as V look up and other intermediate formulas is a plus but not required
-The ideal candidate will be working as a global badge office team member.
-The role will entail helping employees with their badging needs as well as assisting management with documents that need editing in google doc, google spreadsheets, etc.
-This person may assist in creating templates, updating the team calendar and assisting in reviewing badging metrics/data.
-Assist management with some team follow ups ensuring timely delivery of action items.
-Provide excellent customer service to walk-ups in the badge office
-Work out of our internal ticketing system to process badging related requests, responding within service level agreement
-Create new personnel access badges using an access control system application -Facilitate obtaining new hire badge photos using CloudCard while coordinating with our
-Onboarding team for backlog updates
-Assist in conducting quarterly audits on our access levels to ensure our security standards are met
-Process outgoing badging supplies shipments from our badge office to ensure same-day pickup from
-FedEx & track/stock badge supplies Intermediate computer skills including e-mail, google calendar, google document and google sheet Google sheet formulas and data mining is a plus
-Other administrative and project duties as requested
-Additional/Desired Skills/Traits Quality control ensuring timely replies of incoming requests
-Editing and formatting google documents, spreadsheets and slides as needed
-Assist with badge related data analysis and metrics
-Minimum of 5+ years of applicable administrative experience, ideally from a global software organization.
-Skillful execution of administrative activities, with high attention to detail, organization and process.
-Experience with updating google calendar.
-Strong teamwork skills; and a confident ability to offer suggestions and improvements to process and work very collaboratively with others.
-Proficient competency, specifically with Google suite & Microsoft Office Suite Project -Coordination experience needed at an intermediate complexity.
-Previous experience partnering with senior management in a fast-paced, innovative environment.
-Experience working with/in large administrative teams.
-Entry-level project management experience/familiarity
