Remote, 6 month - Freelance contract
The Event Coordinator will report to the Sr. Event Manager and is responsible for all show logistics: all tasks related to travel, hotels, transportation, staffing list, visa & immigration, catering, COVID-19 logistics needs and all fan-facing aspects of the assigned events.
The position is fully remote unless traveling to an event location. Production schedules will be provided well in advance. Valid passport is required.
Responsibilities:
- Work with Sr. Event Manager & Event Managers to help capture and track data.
- Collaborate deeply with local DMC coordinators and third party logistics coordinators.
- Collaborate with Mobility in understanding and delivering VISA needs for staff
- Partner with travel agency to ensure flights are reserved correctly.
- Have clarity around the hosting country/cities rules and regulations for ticket creation and distribution, ticketing counts, etc.
- Works on all FOH (Front of House) facing parts of the assigned events.
- Database Management: Organize and distribute data as it relates to all event logistics, future facing understanding of data as it relates to hotels, immigration, and logistics.
- Post-event budget actualization with the logistics team, and reviewing data accuracy
Required Qualifications:
- Experience in large scale event planning
- Live event experience coordinating and working with lots of data and collaboration between many departments.
- Communication skills between multiple team members around the world is a key component of this job.
- Must be clear and concise.
- Attention to detail, data aggregation and distribution, great organization
- 2+ years work experience in event logistics
- Experience creating tools, developing timelines, and following budget.
- Airtable experience is nice to have
