Job descriptionThe client is seeking a highly organized and detail-oriented individual to join their team as an Executive Admin. As an Executive Admin, you will provide comprehensive administrative support to the team, This is a critical role that requires exceptional organizational skills, strong attention to detail, and the ability to handle multiple tasks and priorities.
1. Calendar and Meeting Management:
- Manage complex calendars for team members, scheduling and coordinating meetings, conference calls, and appointments.
- Prepare meeting agendas, materials, and presentations as required.
- Coordinate logistics for meetings, including booking conference rooms, arranging catering, and managing audio-visual equipment.
2. Travel Coordination:
- Arrange domestic and international travel for team members, including flights, accommodations, ground transportation, and visas when necessary.
- Prepare detailed itineraries and ensure all travel arrangements are in line with company policies and guidelines.
3. Expense Management:
- Process and track expense reports for team members, ensuring accuracy and compliance with company policies.
- Maintain expense records and reconcile corporate credit card statements.
4. Document Management:
- Create, edit, and proofread documents, presentations, and reports.
- Maintain electronic and physical filing systems, ensuring documents are organized and easily accessible.
5. Communication and Correspondence:
- Manage incoming communications, including phone calls, emails, and mail, and respond or redirect as appropriate.
- Draft and edit correspondence, memos, and other written communications on behalf of team members.
6. Project Support:
- Provide administrative support for various team projects, including research, data analysis, and coordination with internal and external stakeholders.
- Assist with the preparation of project status reports and presentations.
- Bachelor's degree in Business Administration or a related field is preferred.
- Proven experience as an Executive Admin or similar role, preferably in a fast-paced corporate environment.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong attention to detail and accuracy.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
