Job description

The Office Manager | Executive Assistant position is responsible for overall office activities, including meeting preparation, mail, large purchasing requests and facilities, as well as supporting the Los Angeles design and marketing team with various needs. 

This role is a Full-time, Direct Hire
Rate: up to $70K annually DOE 
Location: 5 days a week on-site at Culver City HQ

Responsibilities: 

Office Management
  • Complete daily walk-throughs of office to make sure it’s tidy and organized
  • Check supply levels in the printer, kitchen, and bathroom, and order more supplies as needed
  • Order kitchen items such as coffee, oat milk, olive oil, etc.
  • Keep track of Ready Refresh water delivery: change delivery dates as needed, update orders, etc.
  • Monitor office supplies, ensure there is a backstock, and update the preferred supplies list
  • Communicate any specific cleaning needs to the cleaning crew, act as the main contact for Jani-Clean, and submit cleaning invoices for payment
  • Act as the main contact for Orkin, monitor pest control issues, and submit invoices for payment
  • Water plants
  • Organize conference rooms and keep them stocked with supplies
  • Organize and tidy the roof deck
  • Organize and tidy the storage room
  • Empty the dishwasher in the mornings and run the dishwater in the evenings
  • Act as the main contact for LAZ parking (office parking provider)
  • Order and set up snacks, drinks, and meals for in-office meetings
  • Act as point person to the property manager, work with the VP, Finance on any building issues
  • Take out the trash as needed
  • Learn the FedEx shipping guidelines and become the primary shipping captain

Executive Assistant
  • Know VP, Design and design brand leads’ calendars to prep for meetings
  • Manage project and meeting calendar
  • Book travel 
  • Work with the VP, Design for office and holiday decorating

Team Support
  • Organize team bonding events and the annual holiday party
  • Organize one monthly team birthday celebration 
  • Submit LA team expenses
  • Assist with new hire onboarding
  • Run errand: go to stores and make returns for the team
  • Sell or donate samples as needed and act as the contact for The Real Real
  • Meet with each RTW + Activewear brand lead every week to see what admin needs they have
  • Organize and monitor CA-required annual Fire Life Safety Training

Marketing Support
  • Assist marketing team with influencer seeding programs: ordering product, unboxing, sorting samples, label making, and shipping

Experience, Talent & Education:
  • Associate degree preferred (B.A. or B.S. preferred)
  • Proficiency in Microsoft Office suite
  • Excellent written and verbal communication skills
  • Comfort with fast-paced environment
  • At least two years of previous experience in office management
  • Working knowledge of mail processes such FedEx and UPS.
