Job description


The Sample Coordinator will play a critical role in overseeing the sample trafficking process for our photo studio across all our brands. This individual will be responsible for receiving, tracking, organizing, and returning samples in a timely and efficient manner. The ideal candidate will have strong organizational skills, attention to detail, and experience working with database applications such as Airtable.

Responsibilities:

 
  • Serve as the point person for receiving all samples for photo studio shoots, ensuring they are received on time and in good condition.
  • Maintain accurate records of sample inventory; properly tag, organize and store samples by brand, project and product category, using database applications such as Airtable and project management application Wrike.
  • Prioritize daily and weekly tasks, including returning samples to the appropriate teams, resourcing props for photoshoots, and managing incoming sample check-ins.
  • Manage the sample process and continuously identify discrepancies to further streamline the check-in and check-out process.
  • Communicate effectively with internal teams, including photographers, stylists, and brand managers, to ensure smooth coordination of sample trafficking activities.
  • Collaborate with cross-functional teams to resolve any issues or delays related to sample trafficking and ensure samples are returned by their deadline.

Qualifications:
  • 2+ years of experience in sample coordination or a related role, preferably in the fashion industry.
  • Working knowledge of database applications such as Airtable and project management applications as Wrike or similar software.
  • Strong organizational skills with the ability to prioritize and multitask in a fast-paced environment.
  • Attention to detail and accuracy in tracking sample inventory and information.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams.
  • Problem-solving abilities and the capacity to identify and address discrepancies in the sample trafficking process.
  • Knowledge of photo studio and apparel brand operations a plus
